PRIVACY POLICY
The Organising Committee of the VI Portuguese Conference of Demography informs participants about its personal data privacy policy, so that they can voluntarily decide whether to provide personal information for registration and possible submission of papers for presentation. The personal data collected will be used appropriately, in accordance with the purpose for which they were collected and in accordance with the provisions of the General Data Protection Regulation - Regulation (EU) 2016/679.
DATA CONTROLLER
The personal data controller is the Portuguese Association of Demography (APD), collective person no. 505046075, with registered office at Rua Almerindo Lessa - 1300-663 Lisbon.
The APD is committed to treat the data of participants and authors in a clear and responsible way.
PURPOSE
This Privacy Policy applies only to the Services for the collection, use, and protection of personal data by the APD in the strict context of the VI Portuguese Conference of Demography (hereafter Conference). It does not apply to websites, mobile/tablet applications or third party services. We recommend careful reading of the terms and conditions of this Privacy Policy.
INFORMATION COLLECTED
Registration Information: the information collected and archived consists of personal and professional data filled in by participants and authors of papers, through forms established for this purpose, via online, which are used for the organization and management of the registration process and free communications. In the absence of important parameters for the continuation of the registration process of the work, data may be requested by other means from the author, such as email or telephone.
Bank details: The APD collaborates with service providers who provide support to the organization of the event, and these are responsible for monetary transactions. Thus, the APD does not collect or maintain bank information. This information is handled by the service providers of the Association, and authors are subject to the Privacy Policy and Terms and Conditions of the service providers when registering for the Congress. Indeed, please review the service providers' Privacy Policy and Terms and Conditions before you register.
Mailing information: when you register and participate in the VI Portuguese Conference of Demography you integrate our mailing list, from which we share notifications or other correspondence during the period before and after the Congress, in the latter case to notify you about the next Congress. If you wish to unsubscribe from our mailing list you only have to remove your e-mail address from the list, in the place indicated in the dissemination page. In addition, when you send us an email and messages via social media we may keep your message, email address and contact information to accommodate your requests. If you do not wish to receive communication from us in the future, please contact us by email or letter to the above address. Please note that requests for removal of information from archived lists, while expedited, may require some time for removal.
Attendance information: we do not make public the attendance information of participants and authors of papers on any platform or place of public dissemination (e.g. social media).
Publication in internal media: the organisation publishes in its internal media (Association website) the accepted free papers. Photographs of the authors of the papers may be used in this publication. Names of authors and affiliations, abstracts, posters and presentation videos will be available for viewing during the course of the event on the Association's website, with access restricted to those who registered. The acceptance of the terms when submitting the abstracts implies the authorization to publish the abstracts in the APD platform. We also inform that all participants are subject to image and audio capturing during our Congress, both by the APD and by partners, sponsors and media present at the event. Thus, if you see any material with your image/audio and do not authorize the use of it, we request that you communicate (via email) the request to remove the material. If the image is shared on communication channels of partners, sponsors and media, we request that you contact them, since the APD is not responsible for the content (graphic or textual) disclosed by partners, sponsors and / or media.
INFORMATION SHARING
DPA the Organizing Committee may have access to the information provided, according to the normal course of the registration process and management of free communications.
Service Providers: the APD collaborates with service providers such as the IT company responsible for the website, companies that provide support to the organisation of the event and the placement of the necessary structures for the digital posters. The APD takes reasonable steps to ensure that our service providers protect your information on behalf of the APD. If APD becomes aware that a service provider uses and discloses information, improperly, commercially plausible steps will be taken to terminate or correct the improper use of the information.
RIGHTS
Participants and authors may exercise their rights of access, information, cancellation, rectification, rebuttal, action of processing, data portability, opposition and automated decisions, and should claim their rights by email or letter to the APD (contacts above).
Participants and authors also have the right to lodge a complaint with the National Commission for Data Protection.
Please note that if you choose to delete your information or refuse the collection and use of it, the registration process and submission of abstracts for free papers may not be considered valid.
TERM OF CONSERVATION OF INFORMATION
The APD will preserve your data for the period necessary to fulfil the purpose of its collection, as well as within the scope of the applicable legal requirements.
INFORMATION SAFETY
APD makes every possible effort to protect your information against loss, misuse, unauthorised access, alteration and destruction. Thus, we adopt the levels of safety and data protection required by law to avoid the aforementioned issues. However, the participant and author should be aware that no data security protocol is inaccessible and, as such, the DPA does not guarantee that information cannot be accessed, collected, disclosed, breached and destroyed by unauthorised third parties acting illegitimately. Under these circumstances, the APD shall not be liable for any damages caused.
ALTERATION OF PRIVACY POLICY
The APD may at any time update this Privacy Policy, so we ask that you periodically review this document to keep it up to date. By remaining a participant and author you signify your acceptance of the changed terms.
